Receptionist/Admin Assistant

The Role

– An exciting opportunity for an experienced and self-motivated Receptionist/Admin Assistant to join a rapidly expanding property development company based in Welwyn Garden City

– The successful applicant will enjoy a pivotal role as the first point of contact for visitors to the office and anyone contacting the company

– The role will report directly to the Office Manager

– The admin assistant element of the role will include providing ongoing administrative support to the Commercial Team

Responsibilities

– Manage all incoming calls to the office using the switchboard system

– Organise the incoming post and distributing correspondence to the correct department/employee

– Daily and weekly emails to Directors advising them of employee absences

– Responsible for all employee letters

– Management of employee HR portal

– Greeting of guests and clients

– Organising of outgoing post, addressing envelopes & going to the Post Office when required

– Management of meeting room diary

– Ensuring office security by managing signing in/out of visitors and employees

– General office upkeep to maintain a tidy working environment

– Preparation of refreshments for Directors and guests

– Procurement of office stationery and provisions

– Maintain an efficient filing system in the office and file daily for the Directors

– Procurement of stationery and PPE (coats, hard hats, high vizetc) for construction sites

– Maintaining a log of PPE issued

– Update and maintain a contact data base

– Liaising with suppliers to resolve queries in a timely manner

– Matching delivery tickets to invoices for materials

– Update and maintain a contact data base

– Scanning of BACS payments

– Emailing suppliers/subcontractors remittance slips

– Responsible for planning staff social functions e.g. Christmas Party

– Monitoring mileage of directors

Skills/Qualifications

– GCSE Grade C in English and Maths

– Strong IT skills including Microsoft Excel proficiency

– Excellent communication skills

– Strong customer service skills

– Organisational skills

– Attention to detail

– Exceptional multitasker

– Courteous
